Position Purpose

The job focus is to provide in-depth consulting services, using advanced functional knowledge, and advanced product expertise to manage Time and Scheduler implementations. Specialists collaborate with the clients to analyze existing systems, policies and procedures in connection with client business objectives. They apply industry knowledge, using sophisticated functional and product expertise, to optimize configurations and utilization. Specialists recommend modifications to client systems, policies and procedures to further business and implementation objectives.

Specialists have Project Management level accountability. Depending on the scope and complexity of the project, and available staffing, Specialists often act in a capacity equivalent to a Project Manager.

Specialists coordinate with other Viventium departments and work as part of an integrated team to address and resolve product, service and client-relations issues that implicate the overall framework, quality and standards of implementation services, and the development of new/revised approaches and techniques. Until the client is transitioned to Viventium’s Client Service organization following implementation, Specialists manage the client relationship.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Manage the client implementation process, developing and maintaining effective, proactive relationships and communications with clients and Viventium departments/associates to ensure a successful overall client experience.
  • Conduct project initiation activities and establish and manage activities toward project milestones independently or in conjunction with a Project Manager.
  • Communicate regularly with clients and Viventium Project Managers regarding project status to ensure all assigned tasks are completed according to schedule.
  • Maintain project milestones and status updates in Salesforce.
  • Identify and overcome client and internal obstacles to ensure timely project completion; coordinate with other departments as needed to achieve objectives.
  • Participate in formal handoff of live systems to other Viventium departments.
  • Apply implementation process methodologies in support of business objectives.
  • Manage Time/Scheduler implementations by working directly with clients to deliver solutions impacting the entire client organization.
  • Analyze existing client systems, interface requirements, and operational needs to advise on functional system design, system configurations, and product adaptations.
  • Determine optimal data conversion methodologies and document and delegate accurate and timely client data conversions to the Data Conversion Services team.
  • Build and maintain client control information.
  • Oversee integrations with both Viventium and non-Viventium systems.
  • Guide clients and internal teams on functional design and system integration within the client’s infrastructure.
  • Consult with clients to support pre- and post-implementation testing of workforce management solutions.
  • Monitor system testing during conversion to ensure data accuracy.
  • Identify client needs and deliver professional consulting services, including:
  • Creating complex custom reports.
  • Customizing Viventium Time products, services, or modules based on client business requirements.
  • Providing business process re-engineering recommendations to support successful conversions.
  • Designing and delivering client-defined systems, processes, tools, and/or databases.
  • Lead or contribute to special projects related to implementations.
  • Develop and deliver customized client training tailored to specific client needs.
  • Manage assigned implementation workload through internal systems.
  • Recommend modifications to implementation timelines based on client or Viventium business needs.
  • Maintain and expand knowledge of products, services, functions, and industry best implementation practices.
  • Recommend product and service enhancements to support business growth and improve client satisfaction.
  • Provide technical support, mentoring, coaching, and training to less experienced implementation associates.
  • Participate in task forces and stretch assignments.
  • Engage in local and company-sponsored activities such as User Groups, Information Sessions, Sales Meetings, and other relevant events.
  • Mentor and support junior implementation consultants through coaching, training, and technical guidance.

Minimum Qualifications

  • 4+ years of Time and Labor/Scheduling experience
  • Highly proficient with tools such as Microsoft Excel and PowerPoint
  • Strong business and technical acumen, communication/ presentation skills, and sound business judgment
  • Highly collaborative with a partner mindset.
  • Ability to thrive in a fast paced and ever-changing environment
  • Proven experience working within complex internal and external cross-functional teams.
  • Ability to build and grow strong relationships with internal partners across technology, product, implementation, service, and legal
  • Strong presentation skills

Preferred Qualifications

  • 2+ years of Advanced Scheduling experience
  • Industry expertise to each client solution and apply best practices through in-depth client consultation
  • Maintain focus and work effectively with multiple demands taking initiative to seek out answers, solutions, and positive outcomes
  • Process-oriented with a high attention to details
  • Exceptional verbal and written communication skills, with the ability to flex style based on audience and situation
