Position Purpose
We are seeking a highly organized, proactive, and detail-oriented Events & Marketing Project Manager to join our team. In this hands-on role, you will work cross-functionally to manage timelines, logistics, and communications for key operational initiatives as well as organizing internal and external events, from conception through to completion. The ideal candidate excels in communication, thrives in a fast-paced environment, and can juggle multiple priorities with professionalism and creativity.

Key Objectives

First 30 Days

  • Shadow and support 1-2 events; Document all planning processes
  • Review past event marketing data; Define baseline metrics
  • Audit active projects; Identify risks and create action plan
  • Review current project management tools and audit for refinement, begin rebuilding
  • Identify top vendors and internal stakeholders; Schedule intro meetings

90 Days

  • Set up and train teams on new project management processes
  • Lead at least 1 full event cycle
  • Launch 1-2 targeted campaigns: Track engagement vs. baseline
  • Deliver at least 3 projects on schedule; No missed top-priority deadlines
  • Collect first round of vendor/stakeholder feedback; Address any concerns

6 Months

  • Lead multiple events independently
  • Using marketing data and baseline metrics, create an engagement plan to meet/exceed lead goals
  • Maintain 95% on-time delivery across all active projects
  • 90% compliance; Reduce planning cycle kickoff timing

Essential Duties and Responsibilities

  • Plan and execute corporate events, conferences, trade shows, team building events, and client appreciation activities
  • Manage event timelines, budgets, venues, and vendors
  • Design and implement event marketing campaigns in collaboration with the marketing team
  • Oversee logistics such as travel, catering, signage, registration, and A/V support
  • Ensure seamless on-site execution and manage post-event follow-up including feedback collection and analysis
  • Serve as the primary point of contact for all event-related inquiries
  • Define project scope, goals, and deliverables in collaboration with stakeholders
  • Develop detailed project plans, timelines, and budgets
  • Coordinate internal teams and external vendors to ensure timely and quality delivery
  • Monitor and track project progress using appropriate tools
  • Conduct risk assessments and proactively mitigate issues
  • Prepare project documentation, reports, and post-mortems
  • Facilitate regular project meetings and status updates with stakeholders
  • Coordinate and track internal projects across teams (marketing, product, HR, Client services) using tools like Asana, Trello, or Monday.com
  • Plan and execute a wide range of events – corporate events, conferences, trade shows, team building, and client appreciation activities
  • Manage vendors, contracts, and event logistics (venue selection, scheduling, invites, swag, A/V, catering, etc.)
  • Support project documentation, status updates, and internal reporting to stakeholders
  • Serve as the go-to point of contact for event-related details and project rollouts
  • Ensure post-project/event feedback collection and continuous improvement

Minimum Qualifications

  • 5-8+ years of experience in event planning, project management, or a combined role
  • Tech-savvy with tools like Monday.com, Swoogo, HubSpot, Teams, etc.
  • Strong organizational skills and ability to juggle multiple concurrent initiatives
  • Excellent written and verbal communication
  • Ability to work under pressure and meet deadlines
