Position Purpose

The Implementation Department is looking for an experienced professional with prior payroll tax experience to join our team. The role of the Implementation Tax team is to provide all clients with payroll tax services that ensures timely and accurate setup of company tax profiles and subsequent YTD/QTD updates, compliance with deadlines, due dates, schedules and record retention rules.

The Payroll Tax Implementation Analyst will support tax service setups for the new client onboarding queue. The candidate should be able to work independently, research complex payroll tax guidelines and regulations, and exercise discretion and judgment. The ideal candidate must have excellent Excel skills and be able to demonstrate a working knowledge of compliance with federal, multi-state and local payroll tax setups. The duties of this job require a high degree of specialized expertise and skill in maintaining established standards of quality and accuracy. Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Manages the new client tax setup process, including the qualification of new client paperwork (setup agreements, tax verification documents) for proper format and completion to ensure the integrity of the intake process is upheld
  • Identifies possible errors in new client paperwork, effectively communicates and/or escalates to the appropriate team members (i.e., Clients, Implementation and/or Tax partners) to resolve as needed (i.e., resource coordination)
  • Manages the new client onboarding process within MasterTax, our tax service system, ensuring setup compliance with federal, state and/or local tax jurisdiction requirements, including technical compliance, and updating system data for accuracy.
  • Responsible for researching and analyzing state registration requirements, filing requirements and tax agencies file formats, exercising independent discretion and judgment when implementing the new company setups.
  • Uses prior USA payroll tax knowledge to support the Payroll Implementation team and, clients alike, by providing fact-based guidance regarding federal, state and/or local tax registration(s), filing requirements and communicating inbound tax notifications from federal, state and/ or local tax agencies
  • Responsible for the filing and processing of relevant federal and state Power of Attorney (POA) forms and electronic Third-Party Authorization (TPA) requests and approvals for new client setups.
  • Communicates with the IRS, state and/or local tax agencies on behalf of Viventium and clients, as needed.
  • Responsible for updating the tax system, including the reconciliation of YTD/QTD data and verifying prior liabilities against prior tax deposits/filings processed by the client’s prior provider in advance of first processing with Viventium Enter new client information into Viventium systems in accordance with internal documented procedures.
  • Collaborate and support teammates (Tax, Implementation, etc.) maintaining positive working relationships As needed, able to independently support client-facing tax setup challenges by articulating tax requirements and step by step instructions in a simplifying manner
  • As needed, take a proactive and hands on approach to collecting tax documents/information on the client’s behalf of via screenshare
  • Create and manage an Implementation Year to Date QA process and ensure completion takes place prior to go-live
  • Develop a process to document past provider year to date issues to avoid the need for client amendments
  • Reduce time to implement and push risks by evaluating ways to simplify tax document collection
  • Participate in special projects and department initiatives as assigned
  • Maintains strict confidentiality of sensitive client data

Minimum Qualifications

  • Minimum 4 Year / Bachelors Degree Business, Tax, Accounting, or Finance
  • 1+ year(s) of payroll tax experience, including knowledge of current US payroll tax laws and regulations, i.e., federal, multi-state and local experience and payroll tax documents (i.e., Federal Withholding, State Income and Unemployment Tax)
  • 2+ years in a client facing role
  • Experience with payroll tax registration services (Middesk)
  • Excellent verbal and written communication skills
  • Ability to handle multiple implementations at one time
  • Excellent attention to detail, time management, organization, and prioritization skills
  • Strong sense of ownership and results-oriented
  • Troubleshooting and problem-solving experience
  • Ability to handle escalations with minimal to no supervision motivated team player with ability to work on simultaneous projects with minimal supervision
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)

Preferred Qualifications

  • Experience with payroll tax software platforms (MasterTax)
