Position Summary

Reporting to the Chief Operating Officer, the Vice President of Operations is responsible for overseeing the efficient and effective management of medical office operations, ensuring high-quality patient care, regulatory compliance, and operational excellence. This role involves strategic planning, performance improvement, resource management, and team leadership. The VP of Operations will lead a team of managers to optimize operational workflows, enhance patient experience, and support the healthcare organization's goals.

Essential Functions and Responsibilities

  • Develop and implement operational strategies, policies, and procedures that align with the healthcare organization’s goals and objectives.
  • Collaborate with the executive team to set and achieve long-term business and patient care objectives.
  • Implement strategic direction, drive revenue, and increase productivity to continue to grow practice.
  • Oversee daily operations of multiple medical offices, ensuring efficient workflows and high-quality patient care.
  • Manage appointment scheduling, patient flow, and office logistics to maximize operational efficiency.
  • Coordinate with clinical staff to ensure seamless integration and communication between clinical, administrative, and ASC functions.
  • Lead, mentor, and develop a high-performing team of managers and staff.
  • Foster a culture of continuous improvement, professional development, and exceptional patient service.
  • Empower managers to lead their teams effectively and ensure alignment with organizational goals.
  • Develop and manage budgets, forecasts, and financial plans for the operations department.
  • Monitor operational performance against budget and take corrective actions as needed to ensure financial health.
  • Analyze financial statements and operational data to identify cost-savings opportunities.
  • Ensure all operations comply with healthcare regulations, accreditation standards, and organizational policies.
  • Implement and maintain quality assurance protocols to ensure high standards of patient care and safety.
  • Establish and maintain relationships with key suppliers and service providers.
  • Negotiate contracts and ensure timely procurement of medical supplies and equipment.
  • Develop and monitor key performance indicators (KPIs) to track operational efficiency, patient satisfaction, and quality of care.
  • Analyze data to identify areas for improvement and implement corrective actions.
  • Prepare and present regular reports to the executive team on operational performance.
  • Identify potential risks in medical office operations and develop mitigation strategies.
  • Ensure business continuity through effective risk management and disaster recovery planning.
  • Enhance the patient experience by optimizing office workflows, reducing wait times, and improving service delivery.
  • Address patient complaints and feedback promptly and effectively.
Requirements
  • Bachelor’s degree in healthcare administration, business administration, nursing, or a related field.
  • Proven experience in a senior operational management role within the healthcare sector, preferably in medical office management.
  • In-depth knowledge of healthcare regulations, compliance, and accreditation standards.
  • Ability to travel between locations as needed.
