As we continue to expand our operations across Europe, we are seeking a highly organized and proactive Contract Support Coordinator to join our growing team in the UK.

About the Role

As a key member of our operations team, you will play a pivotal role in driving the operational and financial performance of the account. You’ll provide essential support in supplier management, financial administration, compliance, and reporting, ensuring seamless service delivery and continuous improvement across our client portfolio.

This remote position is ideal for someone detail-oriented, collaborative, and motivated by excellence in both process and performance.

Key Responsibilities

  • Raise and manage Purchase Orders for Facilities Management, Chargeable Works, and Projects in line with contractual and financial requirements.

  • Create Client Proposals and Service Orders, ensuring accurate cost allocation and documentation.

  • Review and process invoices daily to ensure timely and accurate payments.

  • Prepare and issue monthly client invoices for FM, Chargeable Works, and Projects.

  • Monitor and manage Work in Progress (WIP) and Open Purchase Orders to maintain financial visibility.

  • Support management of timesheets, shift rotas, overtime, and expense records for all site personnel.

  • Assist in preparing the monthly Contract Review Pack and performance reports.

  • Track and record training compliance via the Training Matrix.

  • Provide holiday cover and cross-site support within the Business Unit as required.

  • Manage procurement and inventory for stationery, uniforms, tools, and IT equipment.

  • Attend monthly client meetings to review performance, resolve queries, and strengthen client relationships.

Skills & Experience

  • Proven experience in contract support, finance administration, or a related role within facilities management, engineering, or service delivery.

  • Strong financial acumen with hands-on experience in purchase order management, invoicing, and debt control.

  • Excellent attention to detail and organizational skills, with the ability to manage multiple priorities.

  • Proficiency in CAFMs, finance platforms, and HR systems.

  • Strong communication and interpersonal skills, with the ability to collaborate across internal and external teams.

  • Proactive, analytical, and solution-focused mindset, with a drive for continuous improvement.

  • Competent in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

  • Knowledge of health, safety, and compliance requirements in an operational environment.

  • Flexible and adaptable, with the ability to support multiple sites as needed.
