The Physical Security Project Coordinator provides administrative, operational, and project support for physical security programs across multiple client locations. This role works closely with the Operations Manager, Project Manager, Site Leadership, Human Resources, Recruiting, Licensing, and Compliance teams to ensure operational activities are coordinated effectively and projects remain on track.

The Project Coordinator serves as a central point of coordination for staffing initiatives, licensing and compliance tracking, onboarding activities, training requirements, reporting, and operational documentation. This position is ideal for an individual seeking to develop leadership and operational management skills within the physical security industry.

Essential Duties and Responsibilities

Operational Coordination

  • Support Project Managers and Operations Managers in the day-to-day coordination of security operations.
  • Assist with monitoring staffing levels, open positions, and workforce requirements across assigned locations.
  • Track operational action items and ensure timely completion of assigned tasks.
  • Coordinate communication between site leadership, corporate departments, and operational management teams.
  • Assist in maintaining operational readiness for new site launches, expansions, and transitions.

Staffing and Workforce Support

  • Coordinate onboarding activities for new hires, including scheduling orientation, training, licensing, and required documentation.
  • Monitor staffing vacancies and assist with recruitment coordination efforts.
  • Track employee start dates, training completion, certifications, and licensing requirements.
  • Support workforce planning initiatives by maintaining accurate staffing reports and rosters.
  • Assist site leadership with employee scheduling and staffing-related administrative tasks as needed.

Compliance and Licensing Support

  • Maintain records related to employee licensing, certifications, fingerprint renewals, and training requirements.
  • Monitor expiration dates and provide notifications to employees and management regarding upcoming renewals.
  • Assist with submitting licensing applications, renewals, and supporting documentation.
  • Ensure personnel files and compliance records remain accurate and up to date.
  • Support internal audits and compliance reviews.

Project and Administrative Support

  • Maintain project tracking documents, schedules, and status reports.
  • Coordinate meetings, conference calls, and operational reviews.
  • Prepare reports, presentations, and operational summaries for leadership.
  • Track project milestones and assist in ensuring deadlines are met.
  • Maintain organized records and documentation for assigned programs and projects.

Client and Site Support

  • Assist with client deliverables, reporting requirements, and administrative requests.
  • Support site leadership with operational documentation and reporting.
  • Coordinate travel arrangements, site visits, and meeting logistics when required.
  • Help ensure operational standards and client expectations are consistently met.

Reporting and Data Management

  • Generate and maintain staffing, compliance, training, and operational reports.
  • Track key performance indicators and operational metrics.
  • Assist leadership with data collection and analysis for operational reviews.
  • Ensure information is accurately entered and maintained within company systems.

Continuous Improvement

  • Identify opportunities to improve administrative processes and operational workflows.
  • Assist with implementation of new procedures, systems, and operational initiatives.
  • Support special projects as assigned by leadership.

Qualifications

Required

  • Associate's degree in Business Administration, Criminal Justice, Security Management, or related field; equivalent experience may be substituted.
  • 1–3 years of administrative, project coordination, operations support, or security industry experience.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy.

Preferred

  • Experience within contract security, physical security, law enforcement, military, or related industries.
  • Experience supporting multi-site operations.
  • Familiarity with employee licensing, compliance tracking, scheduling systems, or workforce management tools.
  • Experience coordinating onboarding, recruiting, or training activities.

Compensation & Benefits Disclosure

The base salary for this role is $60,000. This range reflects a good‑faith estimate of what we reasonably expect to pay upon hire, based on factors such as skills, experience, education, and market/location. Our comprehensive benefits include health, dental, and vision insurance, Health Savings Account (HSA), gym discount, mental health, Discounted Group Life & AD&D, Discounted Group Short & Long-term Disability, 401(k) retirement matching, PTO/paid holidays, and parental leave. Final compensation will be determined by job‑related factors consistent with applicable law.
