Payroll Solutions Specialist
Accounting & Finance, Customer Service
USD 80k-90k / year
DaySmart provides industry-leading software solutions that help businesses operate more efficiently and focus on what matters most. As we expand our embedded payroll offering - powered by a third-party payroll processor - within the pet care industry, we’re seeking our first dedicated payroll hire to build and own the function as the internal subject matter expert and primary support resource for this product.
This role will initially focus on payroll for pet care providers and will expand - with performance - to support additional products across the DaySmart portfolio of 13 brands. Scope and ownership will grow as the payroll function and team scale.
Position Summary
The Payroll Solutions Specialist is the internal expert for payroll compliance, tax, and operational questions, serving as the primary escalation point for payroll-related issues, with the third-party processor (per vendor SLA) and internal teams as the escalation path beyond this role.
Reporting into Customer Operations, this role blends payroll expertise, customer consultation, onboarding support, and internal enablement. As the first dedicated payroll hire, the scope is intentionally broad; it will narrow and deepen as the team grows. The ideal candidate can confidently advise on payroll regulations, guide customers through implementation decisions, and help internal teams support payroll at scale.
Key Responsibilities
Payroll Compliance & Subject Matter Expertise
- Serve as the primary escalation point for payroll compliance, tax, regulatory, and setup-related questions.
- Guide customers on payroll configuration decisions to ensure compliance with federal, state, and local requirements.
- Research and interpret payroll regulations, tax rules, and wage and hour laws.
- Identify and escalate compliance risks to Product and leadership.
- Act as the internal payroll subject matter expert across DaySmart.
Customer Consultation & Pre-Sales Support
- Support prospective payroll customers by answering product and compliance questions.
- Provide consultative guidance on payroll setup and best practices.
- Partner with Sales and Customer Success to support payroll-related conversations throughout the customer journey.
- Help customers evaluate payroll solutions and move confidently toward adoption.
Onboarding & Vendor Coordination
- Support onboarding and implementation in partnership with the embedded payroll processor and internal teams.
- Serve as the liaison between customers, DaySmart, and the third-party payroll processor that powers the embedded offering - coordinating within a partner stack rather than running payroll in-house.
- Troubleshoot and resolve escalated payroll issues.
- Monitor onboarding progress and help improve implementation workflows and customer experience.
Product & Operational Support
- Partner with Product, Support, and Operations teams to improve payroll workflows and support processes.
- Provide structured customer feedback to inform product improvements.
- Help refine payroll support models as the product scales.
- Identify gaps in payroll documentation, FAQs and escalation guides.
- Support expansion of payroll capabilities across the DaySmart portfolio.
Qualifications
Required
- 3+ years of payroll administration, payroll operations, or payroll compliance experience.
- Strong understanding of payroll taxes, wage and hour laws, and multi-state payroll regulations - including the areas that most often drive escalations: local taxes, state reciprocity, and worker classification (contractor vs. employee).
- Experience supporting integrated payroll systems or payroll-related customer issues.
- Ability to explain complex payroll concepts clearly to both technical and non-technical audiences.
- Strong analytical and problem-solving skills.
- Excellent communication and organizational skills.
Preferred
- CPP or FPC certification (or equivalent payroll credential) - strongly preferred.
- Experience with payroll service providers or payroll SaaS platforms.
- SaaS support, implementation, or customer success experience.
- Familiarity with HRIS, timekeeping, or workforce management systems.

- Familiarity with pet care, SMB services businesses, or vertical SaaS - including payroll considerations for groomers and independent operators.
