We are currently looking for an HR Operations Specialist who will serve as a key operational partner within the Human Resources function, supporting a global workforce of 400+ regular employees and contractors. This role sits within the broader HR team with a primary focus on HR operations, employee lifecycle processes, leave administration, and benefits support.
This role is the first point of contact for HR-related inquiries and plays a critical role in onboarding, offboarding, leave of absence administration, and ongoing HRIS maintenance. The HR Operations Specialist ensures accurate employee data, compliant documentation, and smooth execution of HR processes, while providing high-quality administrative and operational support to the broader HR team.
Reporting into the HR Manager - Benefits & Operations, this role will require strong attention to detail, sound judgment, and the initiative and ability to manage multiple HR processes with accuracy and confidentiality. Key responsibilities include:
Employee Lifecycle & HR Operations
- Own and administer employee lifecycle processes related to onboarding, job changes, transfers, and offboarding.
- Serve as the primary administrator for employee data changes, ensuring timely and accurate updates in the HRIS and related systems.
- Manage new hire onboarding activities including HRIS setup, background checks, documentation, and communications.
- Support and administer HR new-hire compliance requirements, including employment eligibility verification and background checks, in accordance with applicable regulations.
- Act as the first point of contact for employee HR inquiries, providing guidance on policies, procedures, and HR processes.
- Prepare, maintain, and audit employee files and records to ensure consistency and compliance.
- Prepare HR correspondence and documentation as requested.
HRIS & Data Management
- Maintain the integrity of the HRIS by ensuring employee data is accurate, complete, and up to date.
- Perform routine audits and reconciliations between HRIS, payroll, and related systems.
- Support system updates, process improvements, and documentation related to HR technology and workflows.
- Serve as a subject-matter resource for HRIS processes, data entry standards, and reporting needs.
Leave of Absence Administration
- Serve as the primary point of contact for employee leave of absence inquiries and requests.
- Administer leaves of absence in coordination with employees, managers, payroll, and third-party vendors.
- Ensure accurate tracking and documentation of all leaves, including paid and unpaid time.
- Coordinate with payroll to ensure correct pay administration during leave periods.
- Maintain compliance with US and International leave laws and internal policies.
- Maintain accurate and confidential leave records and reporting.
Benefits & Programs Support
- Provide basic administrative support for employee benefit programs.
- Serve as the point of contact for benefits-related questions, directing employees to appropriate resources or vendors as needed.
- Support annual open enrollment activities.
- Assist with benefits reporting and compliance activities as assigned.
Requirements
- Bachelor's degree in human resources or related field and/or equivalent experience.
- 3+ years of HR administration experience (employee onboarding, new hire orientation, HRIS administration, etc.)
- Proven experience administering and supporting a wide variety of HR operational processes across the employee lifecycle, with the ability to adapt to evolving priorities and requirements.
- Working understanding of human resource principles, practices, and procedures.
- Highly organized and efficient and able to prioritize to meet tight deadlines.
- Critical thinker with ability to problem solve.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent analytical skills, accuracy and attention to detail.
- SHRM-CP or SHRM-SCP and CEBS professional designations preferred.
Salary
- The salary range for this role is $62,000 to $70,000 per year. Pay is based on several factors including but not limited to education, work experience, certifications, internal equity, etc.

How You Will Work
This will be a US based position. We offer flexible work arrangements including fully remote, in person or hybrid opportunities. For those looking to work in person, we have physical offices in the following cities:
- Ann Arbor, MI
- Wayne, PA
- Austin, TX
