Allmark Door Company is a private equity-backed provider of commercial door, dock, and gate installation, maintenance, and repair services operating across 11+ states in the Northeast and Mid-Atlantic. We serve commercial, industrial, institutional, and government customers through a growing network of operating companies and branch locations.

As we continue to scale, we are investing in both the risk management infrastructure (contract management, contract review, and compliance) and the business systems infrastructure (CRM, reporting, and workflow automation) needed to support growth across our branches.

POSITION OVERVIEW:

The Commercial Operations Administrator will manage and review business contracts and help organize the lead-to-contract process across the organization. This role is ideal for a detail-oriented, systems-minded professional with experience in contract administration and exposure to CRM systems as a secondary responsibility in a prior role. The position supports two complementary functions: construction contract administration and revenue operations. Contract administration will focus on reviewing and administering construction subcontracts and service agreements, while revenue operations will focus on supporting the CRM, building processes that improve the lead-to-contract workflow, and assisting with reporting that drives growth across marketing, sales, and customer success. Both functions require the same core strengths: attention to detail, process discipline, and strong communication.

ESSENTIAL DUTIES

Contract Administration

  • Review and redline construction contracts and service agreements, identifying deviations from company standards and potential areas of commercial, legal, or operational risk.
  • Evaluate and monitor compliance with prevailing wage requirements, including the federal Davis-Bacon Act, applicable state prevailing wage statutes across our multi-state footprint, and project-specific labor agreements (PLAs).
  • Identify and escalate high-risk contract provisions, including pay-if-paid and pay-when-paid clauses, liquidated damages caps, broad indemnification requirements, consequential damages waivers, flow-down obligations, and termination-for-convenience provisions.
  • Process and track change orders, lien waivers, preliminary notices, and related correspondence with general contractors, owners, and sureties.
  • Build and own Allmark’s contract administration function, including developing workflows for contract review, approvals, and tracking; standardizing playbooks and clause libraries; and establishing a centralized contract repository and reporting cadence.
  • Maintain the contract repository and ensure accurate tracking of executed agreements, amendments, renewals, and key compliance deadlines.
  • Support month-end close activities by confirming contract-driven billing milestones, retainage releases, and project accounts receivable status.
  • Manage vendor and customer contract administration and related documentation.

Revenue Operations

  • Experience working with HubSpot and NetSuite (or similar CRM and ERP platforms).
  • Build and operate processes that align marketing lead handoff, sales opportunity management, and customer success renewal and expansion workflows, supporting growth across the full customer lifecycle.
  • Design and implement automations that reduce manual effort and improve data accuracy across the lead-to-cash process.
  • Maintain CRM data integrity, including deduplication, territory assignment updates, account hierarchy management, and ongoing system-wide data cleanup.
  • Deliver ad hoc analysis, reporting, and insights to support executive leadership reviews and private equity sponsor reporting requirements.

REQUIRED QUALIFICATIONS

  • 4+ years of combined experience in contract administration (construction or specialty trades preferred) and revenue operations, sales operations, or CRM administration
  • Demonstrated experience reviewing and negotiating construction subcontracts with general contractors and construction managers
  • Working knowledge of the federal Davis-Bacon Act and applicable state prevailing wage laws, including exposure to certified payroll reporting
  • Hands-on experience administering NetSuite, HubSpot, or similar CRM/ERP systems
  • Proven ability to design, document, and improve business processes in an operational environment
  • Strong experience with workflow automation and process optimization across CRM, ERP, or related business systems
  • Proven ability to maintain CRM data integrity at scale and produce accurate, decision-ready reporting and dashboards
  • Excellent written communication skills, including contract review, redlining, and professional business correspondence
  • High attention to detail with the ability to context-switch between risk-focused contract work and systems-oriented operational execution

PREFERRED QUALIFICATIONS

  • Experience in a private equity–backed or multi-state service or industrial services business
  • Familiarity with AIA contract documents (including A201 and A401) and ConsensusDocs agreements
  • Experience with NetSuite, HubSpot, or similar ERP and CRM platform
  • Experience with multi-state compliance requirements, particularly across the Northeast and Mid-Atlantic regions

Pay: $85,000.00 - $105,000.00 per year
