Allmark Door Company is a private equity-backed provider of commercial door, dock, and gate installation, maintenance, and repair services operating across 11+ states in the Northeast and Mid-Atlantic. We serve commercial, industrial, institutional, and government customers through a growing network of operating companies and branch locations.

As we continue to scale, we are investing in both the risk management infrastructure (contract management, contract review, and compliance) and the business systems infrastructure (CRM, reporting, and workflow automation) needed to support growth across our branches.

POSITION OVERVIEW:

The Part-Time Contracts Administrator will support contract administration and help manage the lead-to-contract process across the organization. This role is ideal for a detail-oriented, systems-minded professional with experience in contract administration and CRM platforms. The position supports two complementary functions: primarily construction contract administration and compliance, and secondarily revenue operations support. Both functions require the same core strengths: attention to detail, process discipline, strong communication, and the ability to manage risk-focused contract activities alongside systems-focused operational workflows.

ESSENTIAL DUTIES

Contract Administration

● Review and redline construction contracts, subcontracts, and service agreements, identifying deviations from company standards and potential areas of commercial, legal, or operational risk.

● Evaluate and monitor compliance with prevailing wage requirements, including the federal Davis-Bacon Act, applicable state prevailing wage laws across our multi-state footprint, and project-specific labor agreements.

● Identify and escalate high-risk contract provisions, including pay-if-paid and pay-when-paid clauses, liquidated damages, broad indemnification requirements, consequential damages waivers, flow-down obligations, and termination-for-convenience provisions.

● Process and track change orders, lien waivers, preliminary notices, and related

correspondence with general contractors, owners, sureties, and other project stakeholders.

● Maintain the contract repository and ensure accurate tracking of executed agreements,

amendments, renewals, compliance requirements, and key contractual deadlines.

Revenue Operations

● Maintain CRM data integrity, including deduplication, territory assignment updates,

account hierarchy management, and ongoing data quality initiatives.

● Support lead routing, lead handoff, and sales opportunity management workflows within HubSpot to ensure accurate pipeline tracking and process consistency.

● Prepare ad hoc reports, dashboards, and analyses to support executive reviews and operational decision-making.

REQUIRED QUALIFICATIONS

● 4+ years of combined experience in contract administration (construction or specialty

trades preferred) and revenue operations, sales operations, or CRM administration

● Demonstrated experience reviewing and negotiating construction subcontracts with

general contractors and construction managers

● Working knowledge of the federal Davis-Bacon Act and applicable state prevailing wage

laws, including exposure to certified payroll requirements

● Proven ability to design, document, and improve business processes in a structured

operational environment

● Experience with workflow automation and process optimization within CRM, ERP, or

document management systems

● Strong CRM data management skills, including maintaining data integrity at scale and

producing accurate, decision-ready reporting and dashboards

● Excellent written communication skills, including contract review, redlining, and

professional business correspondence

● High attention to detail with the ability to context-switch between risk-focused contract

administration and systems-focused operational work

PREFERRED QUALIFICATIONS

● Experience in a private equity–backed or multi-state service or industrial services

business

● Familiarity with AIA contract documents (including A201 and A401) and ConsensusDocs

agreements

● Experience with NetSuite, HubSpot, or similar ERP and CRM platform

● Experience with multi-state compliance requirements, particularly across the Northeast

and Mid-Atlantic regions

Pay: $35.00 - $50.00 per hour
