Position Overview:
Allmark Door is seeking a highly organized and proactive Service Assistant Coordinator to provide outstanding support for our service team. In this role, you will play a key part in ensuring our customers receive seamless, efficient service and a smooth experience from start to finish. The ideal candidate will be dedicated to customer satisfaction, possess excellent organizational skills, and excel at keeping projects on schedule and running smoothly.
Duties & Responsibilities:
- Answer incoming phone calls and email requests from new and existing customers and team members, providing timely, accurate information and responding promptly to service-related inquiries with professionalism and a sense of urgency.
- Email new customer forms and direct relevant information to appropriate sales reps by cross-referencing territory maps to ensure proper assignment of sales reps per job site location.
- Assist in coordinating and dispatching technicians by optimizing schedules based on workload, proximity, and priorities to ensure timely and efficient service delivery.
- Collaborate with customers to verify any site-specific instructions and requirements, including drug and alcohol testing protocols.
- Create new service projects based on incoming service calls, ensuring accurate documentation and proper tracking for each job.
- Solve problems effectively by gathering and processing relevant information to resolve issues quickly.
- Follow up on all service requests to ensure issues have been resolved and meet customer expectations.
- Coordinate with the service team to ensure all necessary resources are available for scheduled jobs.
- Maintain organized records of service activities, job schedules, and customer communications.
- Support the service team in various administrative tasks as needed to ensure smooth project execution.
- Receive direction and guidance from Service Coordinators to ensure alignment with operational goals and effective execution of tasks.
- Follow up on service proposals with customer and add updates to the system.
- Perform additional administrative tasks as needed or requested to support departmental operations and ensure efficiency.
Key Competencies & Skills:
- Strong ability to manage multiple tasks and deadlines efficiently.
- Excellent communication skills, with a focus on teamwork.
- Proficiency with Google Suite and data entry software. (Netsuite is a plus)
- Demonstrates a proactive, customer-first mindset with a strong sense of urgency, providing clear direction and support to customers to ensure their needs are met promptly and effectively.
Minimum Requirements:
- High school diploma or equivalent. A degree or relevant certification in business administration, project management, or a related field is a plus.
- At least 1-2 years of experience in a coordination or administrative role, ideally in the construction, service, or facilities management industry.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities effectively.
- Excellent written and verbal communication skills for customer and team interactions.
- Basic understanding of service operations and logistics, including scheduling, dispatching, and coordinating field teams.
- Strong customer service orientation with a proactive, solution-focused attitude.
- Ability to work under pressure and manage time effectively in a fast-paced environment.
- High level of attention to detail and accuracy.
Pay: $50,000.00 - $60,000.00 per year

Work Location: In person
