Position Overview:
The Estimating & Service Administrator supports the service and estimating operations. This role is integral to ensuring the accuracy, efficiency, and flow of information across the service lifecycle - from initial request through estimate completion.
Duties & Responsibilities:
- Serve as a central coordinator for incoming service and estimate requests, ensuring all work is accurately captured and prioritized
- Review and validate job details, identifying gaps and proactively gathering missing information before estimating
- Prepare and refine scopes of work and job summaries to ensure clarity, consistency, and customer-ready communication
- Maintain and manage workflow pipelines to ensure timely progression of jobs and minimize delays
- Partner cross-functionally with service, operations, and sales teams to align on job requirements and priorities
- Communicate professionally with customers regarding request status, timelines, and follow-ups
- Support estimating efforts by ensuring all required inputs (labor, materials, scope, site details) are complete and accurate
- Identify opportunities to improve processes, data accuracy, and workflow efficiency
- Maintain high standards of data integrity across systems and documentation
- Perform additional administrative or operational tasks as needed

Minimum Requirements:
- 1–3+ years of administrative, customer service, service coordination, estimating support, or related experience
- Proficient in using Google Workspace and Microsoft Office applications, including Excel, Word, and Outlook.
- Experience with ERP, CRM or service management systems
- High School Diploma or GED required; associate degree or higher preferred.
- Valid Driver’s License required.
Preferred (Not Required)
- Experience in a service-based, construction, or field operations environment
- Familiarity with estimating, quoting, or work order processes
- Experience with platforms such as NetSuite, Corrigo, Service Channels or similar systems
