Our Chatham location is seeking a highly organized and detail-oriented Accounting Assistant to join our Finance team. This is an excellent opportunity for an accounting professional who thrives in a fast-paced, operational environment and takes pride in accuracy and accountability.
The Role
The Accounting Assistant plays a vital role in supporting daily financial operations, ensuring the integrity, accuracy, and timeliness of financial records. Working closely with the Controller and broader Finance team, this role supports accounts payable, accounts receivable, inventory accounting, and financial reporting functions.
This position is ideal for someone who enjoys balancing multiple priorities while maintaining high standards of precision and professionalism.
Key Responsibilities
Accounts Payable & Accounts Receivable
- Process accounts payable transactions, including verifying, matching, and entering invoices and packing slips
- Ensure accurate and timely vendor invoice entry into the accounting system
- Support accounts receivable functions, including invoice tracking, payment application, and reconciliations
- Communicate with vendors and internal departments to resolve discrepancies
- Assist with vendor account reconciliations
- Monitor outstanding receivables and follow up as required
Financial Reporting & Accounting Support
- Assist in the preparation of monthly and year-end financial reports
- Support month-end and year-end close processes
- Compile routine accounting and financial summaries
- Analyze financial data to identify discrepancies or irregularities
- Research and resolve accounting issues in a timely manner
- Maintain organized, accurate, and compliant financial documentation
- Ensure adherence to company accounting policies and internal controls
Inventory & Operational Accounting
- Support inventory accounting functions, including tracking, reconciliation, and costing
- Verify and enter packing slips and inventory documentation
- Assist in maintaining alignment between system records and physical inventory
- Collaborate with operations and warehouse teams to resolve discrepancies
- Maintain accurate inventory records within accounting systems
Education & Experience
- College or university degree in Accounting, Finance, or related field preferred
- 1–3 years of hands-on accounting or finance experience preferred
- Experience with accounts payable, accounts receivable, and invoicing
- Experience in inventory-driven, operational, or multi-location environments considered an asset
- Equivalent combinations of education and experience will be considered
Technical Skills & Competencies
- Strong proficiency in Microsoft Office, particularly Excel
- Experience with ERP systems such as Sage Intacct, Service Fusion, or similar platforms preferred
- Solid understanding of accounting principles and financial processes
- Knowledge of inventory accounting and costing is an asset
- Exceptional attention to detail and accuracy
- Strong organizational and time-management skills
- Analytical and problem-solving abilities
- Clear, professional verbal and written communication skills
- Ability to manage multiple priorities and meet deadlines
- Ability to work both independently and collaboratively
- Professional discretion in handling confidential financial information
