Description

The ideal candidate for the Project Coordinator role is highly organized and enthusiastic, with exceptional

communication skills and a demonstratable talent for project management. Applicants should be self-motivated and passionate about planning while continuously seeking opportunity to improve upon processes. The Project Coordinator will report directly to the Manager of the Project Management Office (PMO) and dedicate approximately 75% of their time to supporting the product team. The key driver for this role is provide the product team with structured project reporting, prioritization, streamlined processes, and coordinated communication. This role is critical to align product initiatives with overall business goals.

1. Project Reporting and Documentation

  • Leverage the PMO framework in Smartsheet to develop and maintain project documentation, including project plans, RAID logs, and Comms. Plans.
  • Assist the product team by creating and distributing regular project updates and reports. Integrate project progress to the PMO reports.
  • Astute ability to identify potential risks or blockers and appropriately escalate.

2. Prioritization and Scheduling

  • Schedule, facilitate, and follow up on action items from project meetings.
  • Support Product Managers with discovery and documentation to prioritize planning for use cases, roadmaps, and device enhancements.

3. Process Improvement and Best Practices

  • Provide recommendations to streamline practices across projects such as standardizing procedures, development of knowledge centers, and centralizing resources.
  • Increase opportunities to automate workflows and tracking/reporting mechanisms.

4. Communications and Coordination

  • Act as liaison between PMO, product, and cross-functional project teams.
  • Ability to translate complex, often technical requirements, into an actionable list.
  • Assist PMO lead with ad-hoc company-wide initiatives such as the Corporate Portal, Board Planning, Conference Planning, etc.
Requirements
  1. Proficient with Microsoft Office Suite and/or related software and technology systems such as ERP, CRM, JIRA, etc.
  2. Familiarity with Project Software such as MS Project, Smartsheet, Monday.
  3. Strong verbal and written communication skills, required.
  4. Strong interpersonal, emotional intelligence (EQ), and customer service skills, required.
  5. Effective active listening skills, demonstrating empathy and understanding.
  6. Outstanding attention to detail and superb organization and follow-up skills.
  7. Ability to hold people accountable.
  8. Proven time management skills with ability to meet tight deadlines.
  9. Knowledge of project management methodologies, tools and techniques.

Qualifications

  1. Bachelor’s degree in relevant field, which may include business, management, engineering, information technology, or related discipline.
  2. 2+ years of relevant experience, required.
  3. PMP, PgMP, CAPM, CSM, and/or comparable project management certifications, desired.

Additional Comments

1. Approximately 20-25% of travel, both local and overnight, for meetings, conferences, industry trade

shows/events, etc.

Salary Description
$60k - $70k per year
